Absence Management.

Absences are any events that take a user away from their daily role. Any user role can create absence requests which can then be approved, rejected, or cancelled by Manager approvers and HR Admins. Users and approvers are notified of pending absence requests, acceptance and rejections via email, and absences taken are reflected in the user’s absence balances.

An absence is any event that takes an employee away from their daily role.

To request an absence:

  1. From the dashboard click the + icon and select New Absence.
  2. Select the relevant absence type and dates, and add an optional comment, and click Submit.

Manager approvers and HR Admin users can request an absence on behalf of another user:

  1. Navigate to the directory and select the Manage User icon.
  2. From the Absence tab click New Absence.
  3. Complete the Absence details and click Submit.

Manager approvers and HR Admin users can accept an absence request.

To accept an absence:

  1. From the dashboard, select the Absence Requests tab.
  2. To accept all outstanding absence requests, click Accept All and confirm.
  3. To accept a single absence, select it from the table and optionally provide a comment.
  4. Select Accept Absence from the Actions menu.

Manager approvers and HR Admin users can reject an absence request.

To reject an absence:

  1. From the dashboard, select the Absence Requests tab.
  2. Select the absence from the table and provide a comment.
  3. Select Reject Absence from the Actions menu and confirm.

Absences cannot be edited, if an amendment is required, the absence should be cancelled and re-submitted.

Users can cancel an absence request up until the day of the absence. HR Admin and Manager approver users can also cancel an absence on the day.

To cancel an absence:

  1. From the dashboard, select the My Next Absences card.
  2. From the Absences tab select the absence record.
  3. Optionally provide a comment to explain the cancellation.
  4. Select Cancel Absence from the Actions menu and confirm.

Only HR Admin users can delete an absence.

To delete an absence:

  1. From the dashboard, select the Absence Requests tab.
  2. Select the absence from the table.
  3. Select Delete Absence from the Actions menu and confirm.

If the absence has already been approved it can still be deleted:

  1. Navigate to the directory and select the Manage User icon.
  2. From the Absence tab ensure that the relevant absence period is selected.
  3. Select the absence from the Absences card.
  4. Select Delete Absence from the Actions menu and confirm.

HR Admin and Manager approver users can add comments to absences with a status of Accepted or Rejected. Adding a comment to a Cancelled absence is not an option, and Pending absences can have comments saved during the acceptance, rejection or cancellation process.

To save a comment to an absence:

  1. Navigate to the directory and select the Manage User icon.
  2. From the Absence tab, select an absence with a status of Accepted or Rejected from the Absences card.
  3. Add a comment and select Save Comment from the Actions menu.
